ROLE DESCRIPTION
PCI Group is looking to hire a Service Co-ordinator and Office Administrator to work from their offices at the IDA Industrial Business Park in Clonshaugh, Dublin 17. This is a full-time, Mon-Fri 9am-5:30pm position. We are looking for a friendly, professional, organised and proactive person to join our growing team. The right candidate will have both strong interpersonal skills and a strong administrative focus, as well as good experience in office procedures and customer service support. This role requires consistent contact with our customers and service engineers, so the ability to build rapport and strong relationships is imperative. The successful candidate will be a core member of our Service/Installation team
 
POSITION SUMMARY
This position is a front-of-house role, primarily responsible for the co-ordination of customer support requests for service and order supplies, and providing administrative support to the Directors of the business.
 
RESPONSIBILITIES
  • Answering and redirecting incoming calls and email enquiries, ensuring a timely and accurate response to customer requests and the management of customer requests through to close
  • Receiving and logging calls from customers with service and order requests; distributing call requests to support team; entering and maintaining accurate information on our online service system, Select / Account IQ
  • Working closely with the Service Manager to schedule and co-ordinate the engineers’ day-to-day agenda; assigning and logging new calls  
  • Monitoring customer account health; liaising with and updating customers as required; reporting of ongoing issues to management team via daily updating and distributing of work-in-progress reports
  • Database administration and management; stock and records management; updating and scheduling CRM; Creating and maintaining filing systems
  • Accepting and recording of all incoming deliveries; dispatching all outgoing deliveries
  • Organizing and coordinating meetings and events for management team where required

REQUIRED SKILLS AND COMPETENCIES

  • Excellent customer service skills and an all-round positive attitude; adept at building rapport with customers, and great working relationships with our internal team and external vendors
  • Excellent telephone manner and email etiquette with the ability to remain diplomatic and tactful at all times
  • Conscientious, thorough and accurate with good attention to detail and can see things through to completion
  • Must have strong organisational, analytical and numeric skills
  • Must be flexible, able to work to tight deadlines and enthusiastic
  • The ability to work well as part of a team and also on own initiative
  • Proficiency in Word and Excel is required; CRM experience is advantageous
  • Candidates will ideally have 2-3 years' experience in a similar role
  • Candidates with internal process design or improvement experience will have a distinct advantage

 

The successful candidate will have a minimum of 2 years of commercial experience in a scheduling /service admin role; must have proficient computer skills and experience with MS office; be extremely well organised and passionate about exceptional levels of customer service and support.

SALARY:  €25-30k, depending on level of experience

Brendan started his career in PCI in 2003. His primary focus centers on the sales management and customer relationship side of the business. He also works closely with the service department to ensure both teams run in close alignment. Brendan became a Director and Co-Owner of PCI Group in 2009.

Director
Edwin is the longest-standing member of the PCI Team, having joined the company in 1986. He controls all aspects of the business financially and has an operational overview of all day-to-day runnings of the business. Edwin, like Brendan, became a Director and Co-Owner of PCI Group in 2009.
